Job Description

We are seeking a highly organized and detail-oriented Project Manager to join our team. This role is essential in supporting our operations through comprehensive project management, financial oversight, client relationship management, and event coordination. The position involves a blend of project management, stakeholder management, and service provision supervision. You will report directly to the company’s leadership.

Key Responsibilities

As a Project Manager, you will handle the whole sales process and service delivery. This includes managing incoming leads to get and keep clients, and making important decisions about service requests and client negotiations.

Your role will include identifying potential future service opportunities and new leads based on client interactions and the success of past events. You will also be tasked with maintaining and updating Key Performance Indicator (KPI) files to ensure thorough data analysis for effective decision-making.

In this role, you will supervise the complete service provision process, from the initial client request through quote creation and terms and conditions acceptance, to invoice generation and final service confirmation. You will oversee staff and provider recruitment, assess service needs, and ensure all administrative processes are completed for staff engagement. Working closely with HR, you will address additional recruitment needs, coordinate staff availability, and manage both onsite and remote event operations, including logistics and documentation.

Financial management is a crucial aspect of this role. You will handle all financial aspects related to the service, including budgeting, financial planning, managing cost approval and making arrangements for additional services whilst ensuring adherence to minimum commission percentages. Additionally, you will provide strategic financial insights to CEOs and COOs, contributing to pricing strategies, lead acceptance rates, and location-based decision-making processes.

Requirements

  • Proven experience in project management and/or events management.
  • Excellent stakeholder management skills.
  • Strong communication and interpersonal skills.
  • Ability to work proactively and manage projects independently.
  • Fluent in English; other languages are a plus.
  • Experience with financial management and cost control.
  • Strong negotiation skills.
  • Demonstrated leadership skills to effectively motivate and manage staff.
  • Ability to become or already be a freelancer to handle invoicing.

Preferred Skills

  • Experience in event management.
  • Very comfortable with CRM tools and spreadsheets.
  • Strong soft skills for effective team collaboration and client interactions.
